About the Project Status Report template

A Project Status Report is a periodic summary that communicates progress, health, risks, and upcoming work to stakeholders and sponsors. It converts scattered updates into a single, decision-ready snapshot, usually anchored by a RAG (red/amber/green) rating against scope, schedule, and budget. Used consistently, it keeps everyone aligned and surfaces problems early enough to act on them.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Project Status Report

  • β–ΈWeekly or fortnightly cadence updates to a project sponsor or steering committee
  • β–ΈFlagging a slipping milestone, budget overrun, or newly escalated risk
  • β–ΈStage-gate or phase reviews where a go/no-go decision is needed
  • β–ΈHandover or portfolio roll-ups where multiple projects report in a common format

  • βœ“Key risks and issues with owners, impact, and mitigation actions
  • βœ“Accomplishments this period and priorities for the next period
  • βœ“Decisions or approvals required from the reader

Tips & common mistakes

  • πŸ’‘Set the RAG rating against defined thresholds so it is objective, not optimistic
  • πŸ’‘Lead with what changed since last time; stakeholders skim, so avoid repeating static background
  • πŸ’‘Always pair a red or amber status with a specific action, owner, and date rather than just a warning

How it works

  2. 2. Brand it β€” add your organization name and logo with the Branding button.

FAQ

How often should a project status report be issued?οΌ‹

Most teams report weekly or fortnightly, matched to the project's pace and the sponsor's needs; high-risk or fast-moving work may warrant more frequent updates.

What does RAG status mean in a status report?οΌ‹

RAG stands for Red, Amber, Green, a traffic-light rating showing whether an area is on track (green), at risk (amber), or off track and needing intervention (red).

Who should receive the project status report?οΌ‹

Typically the project sponsor, steering committee, and key stakeholders; tailor the level of detail so executives get the summary and delivery teams get the specifics.
