Action items are short, follow-up commitments that typically arise from meetings and are completed within days or weeks, while project tasks are planned, scheduled work tied to the schedule and deliverables. Action items often feed into the plan once they grow in scope.
Usually the project manager, meeting facilitator, or scribe owns the log, updating statuses and chasing owners before each review. The individual owners remain responsible for completing their own items.
Give each item a named owner and due date, review the open list at the start of every recurring meeting, and mark items closed only when the outcome is verified. Regular visibility is what prevents drift.
