About the Process Map template

A Process Map is a visual diagram that shows the sequence of steps, decisions, inputs, and outputs that make up a business process from start to finish. It exposes handoffs, bottlenecks, and rework loops that stay hidden in prose, giving teams a shared reference for improvement, training, and compliance. Mapping the current state is the foundation of most quality and process-improvement work.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Process Map

  • β–ΈDocumenting an existing (as-is) process before a Lean or Six Sigma improvement effort
  • β–ΈOnboarding new staff who need to see how work actually flows across roles
  • β–ΈStandardising a procedure for an audit, ISO certification, or SOP
  • β–ΈRedesigning a workflow and comparing a proposed to-be state against current reality

What a good Process Map includes

  • βœ“Clear start and end points that define the process boundaries
  • βœ“Sequential activity steps written as verb-plus-object actions
  • βœ“Decision diamonds with labelled yes/no or conditional branches
  • βœ“Swimlanes assigning each step to a role, team, or system
  • βœ“Inputs, outputs, and handoff points between lanes
  • βœ“Standard symbols (process, decision, terminator, document) applied consistently

Tips & common mistakes

  • πŸ’‘Map what really happens, not the idealised version, or the map hides the very problems you want to fix
  • πŸ’‘Keep one map to a single level of detail; break sub-processes into their own maps rather than cramming everything in
  • πŸ’‘Validate the draft with the people who do the work before you treat it as accurate

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

What is the difference between a process map and a flowchart?οΌ‹

A flowchart shows a generic sequence of steps, while a process map adds business context such as swimlanes, roles, inputs, and outputs to show who does what and where handoffs occur.

What symbols are used in a process map?οΌ‹

The common set follows flowchart conventions: rounded rectangles or ovals for start/end, rectangles for activities, diamonds for decisions, and arrows for flow direction. Swimlanes group steps by responsible role or department.

How detailed should a process map be?οΌ‹

Match the detail to your purpose: a high-level map captures 5-10 major stages for overview, while a detailed map breaks each stage into task-level steps for training or SOPs. Avoid mixing levels in a single view.
