About the Work Instruction template
A Work Instruction is a step-by-step document that tells one person exactly how to perform a specific task, down to the tools, settings, and sequence of actions. It sits below a procedure in the documentation hierarchy—where a procedure says what must happen, the work instruction shows precisely how to do it. Getting it right reduces variation, cuts training time, and keeps output consistent regardless of who does the job.
It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.
When to use a Work Instruction
- ▸Onboarding a new operator or team member who needs to perform a task correctly the first time
- ▸Standardizing a task that produces inconsistent results across shifts or people
- ▸Documenting a high-risk or compliance-critical step where a mistake has real consequences
- ▸Capturing know-how from an experienced worker before they leave the role
What a good Work Instruction includes
- ✓Title, document ID, version, and effective date for revision control
- ✓Purpose and scope stating the exact task covered and who performs it
- ✓Tools, materials, PPE, and prerequisites needed before starting
- ✓Numbered, sequential steps written as clear action verbs, one instruction per line
- ✓Visuals—photos, diagrams, or screenshots—annotated at the steps that need them
- ✓Safety warnings, quality checks, and acceptance criteria placed at the relevant step

Tips & common mistakes
- 💡Write one action per step and start each with a verb; combining actions is where errors creep in
- 💡Keep it to a single task—if you are describing multiple processes, you need separate instructions
- 💡Have someone unfamiliar with the task follow it exactly; the gaps they hit are the ones to fix
How it works
- 1. Fill it in — type directly into the fields, tables and sections above.
- 2. Brand it — add your organization name and logo with the Branding button.
- 3. Export — print to PDF, or become a member to white-label and sync across devices.
FAQ
What is the difference between a work instruction and a standard operating procedure?+
An SOP describes a whole process and the sequence of activities across roles, while a work instruction zooms into a single task and shows one person the precise steps to complete it. Work instructions are typically referenced by, and subordinate to, SOPs.
How detailed should a work instruction be?+
Detailed enough that a trained person unfamiliar with this specific task can complete it correctly without asking questions—use numbered steps, exact settings, and images, but avoid explaining background theory that belongs in a procedure or manual.
Who should write and approve a work instruction?+
It should be drafted by someone who actually performs the task, reviewed by a supervisor or process owner for accuracy, and approved through your document control so the version, date, and authorization are recorded.
