About the Standard Operating Procedure SOP template
A Standard Operating Procedure (SOP) is a documented, step-by-step set of instructions describing how to consistently perform a routine operational task. It captures the approved method so any qualified person can execute the process the same way every time, reducing variation, errors, and dependence on individual knowledge. Well-maintained SOPs underpin quality systems, audits, onboarding, and regulatory compliance.
It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.
When to use a Standard Operating Procedure SOP
- ▸Standardizing a recurring task where inconsistent execution causes defects, rework, or safety risk
- ▸Onboarding or cross-training staff so procedures survive turnover
- ▸Preparing for ISO 9001, FDA, GMP, or internal audit evidence
- ▸Documenting a process before automating or handing it off to another team
What a good Standard Operating Procedure SOP includes
- ✓Purpose and scope: what the procedure covers and where it does not apply
- ✓Roles and responsibilities: who performs, reviews, and approves each step
- ✓Numbered step-by-step instructions with decision points and expected outputs
- ✓Materials, tools, systems, and safety or PPE requirements
- ✓References, definitions, and linked forms or related SOPs
- ✓Document control block: version, owner, effective date, and revision history

Tips & common mistakes
- 💡Write steps in the imperative voice ('Enter the batch number') and one action per line so they are auditable and easy to follow
- 💡Avoid burying the actual method under excuses and background—keep scope tight and link out to policies instead
- 💡Assign an owner and a review cycle; an out-of-date SOP is worse than none because people stop trusting it
How it works

FAQ
What is the difference between an SOP and a work instruction?+
An SOP describes the overall procedure and the roles involved for a process, while a work instruction drills into the granular how-to for a single task or step. SOPs often reference several work instructions.
How often should an SOP be reviewed?+
Most quality systems require review at least every one to two years, plus immediately after any process change, incident, or audit finding. The review date and reviewer should be recorded in the document control section.
Who is responsible for approving an SOP?+
A named process owner drafts and maintains it, and a designated authority—typically a manager or quality representative—formally approves it before release. Both should be captured in the approval and revision history block.
