About the Inventory template

An Inventory is a running record of every physical or digital asset a project holds, tracking quantities, locations, condition, and value at a point in time. It keeps procurement, storage, and consumption in sync so you never over-order, run short mid-task, or lose track of high-value equipment. Accurate inventory data underpins cost control, audits, and reliable resource planning.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes

  • πŸ’‘Set reorder points per item so low-stock flags trigger before you run out, not after
  • πŸ’‘Do periodic cycle counts rather than one annual count to catch discrepancies early
  • πŸ’‘Record a single unit of measure per item to avoid mixing boxes, pallets, and units

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

How do I set a reorder point?οΌ‹

Multiply the average daily usage by the supplier lead time in days, then add a safety-stock buffer for demand spikes or delivery delays.

What's the difference between an inventory count and stock valuation?οΌ‹

A count records how many units you physically hold, while valuation multiplies those quantities by unit cost to show the monetary value tied up in stock.

How often should inventory be updated?οΌ‹

Update it in real time as items are received or issued, and reconcile against a physical cycle count on a rolling schedule to catch shrinkage or errors.
