About the Highlight Report template
A Highlight Report is the regular progress summary a project manager sends to the project board or sponsor, typically covering the reporting period against the current stage plan. It keeps decision-makers informed of what's been achieved, what's next, and where their attention or a decision is needed, without dragging them into daily detail. In PRINCE2 it's the formal control that reports from the manager to the board during a stage.
It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.
When to use a Highlight Report
- βΈAt the end of each reporting period defined in your Communication Management Approach (usually weekly or fortnightly)
- βΈWhen a stage is progressing normally and you owe the board a routine status update
- βΈTo flag emerging issues, risks or requests for decision before they escalate to Exception
- βΈAs a lightweight alternative to a full stage-end report during a stage
What a good Highlight Report includes
- βReporting period, project name, date and RAG status summary
- βProducts/deliverables completed this period against the plan
- βProducts planned for the next period
- βBudget and schedule position vs. baseline (tolerance status)
- βOpen issues, key risks and any requests for board decision or aid
- βNotable achievements and lessons captured for later
What's inside this template
The interactive form above gives you:
Tips & common mistakes
- π‘Keep it to a single page and match detail to the board's tolerance concerns, not every task
- π‘Report against the plan the board agreed, so variances are obvious at a glance
- π‘Don't bury a request for decision inside prose, call it out explicitly so it isn't missed
How it works
- 1. Fill it in β type directly into the fields, tables and sections above.
- 2. Brand it β add your organization name and logo with the Branding button.
- 3. Export β print to PDF, or become a member to white-label and sync across devices.
FAQ
Who writes a Highlight Report and who receives it?οΌ
The project manager produces it and sends it to the project board (executive, senior user and senior supplier) at the frequency and format agreed in the Communication Management Approach.
How often should a Highlight Report be issued?οΌ
At the interval set by the board for the stage, commonly weekly or fortnightly; the frequency is fixed at stage start so the board knows when to expect it.
What's the difference between a Highlight Report and an Exception Report?οΌ
A Highlight Report is routine progress reporting within tolerance, while an Exception Report is raised only when a stage or project is forecast to breach its agreed tolerances and needs board direction.
