About the Skills Matrix template

A Skills Matrix maps the competencies your team holds against the skills your project or department actually needs, usually scored on a proficiency scale. It exposes capability gaps, single points of failure, and cross-training opportunities before they derail delivery. Used well, it turns resourcing and hiring decisions from guesswork into evidence.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Skills Matrix

  • β–ΈStaffing a new project and checking whether the team covers every required skill
  • β–ΈPlanning training budgets and identifying who needs upskilling
  • β–ΈSpotting key-person dependencies where only one person holds a critical skill
  • β–ΈPreparing for succession, reorganisation, or workforce capacity reviews

What a good Skills Matrix includes

  • βœ“Team member names or roles down the rows
  • βœ“Required skills or competencies across the columns
  • βœ“A consistent proficiency scale (e.g. 0=none, 1=aware, 2=working, 3=expert)
  • βœ“Criticality or priority rating per skill to the current work
  • βœ“Interest or willingness-to-learn flag to guide development plans
  • βœ“Summary totals showing coverage per skill and gaps per person

Tips & common mistakes

  • πŸ’‘Define each scale level explicitly so scores mean the same thing to everyone; vague scales make the data worthless
  • πŸ’‘Rate against skills the work genuinely needs, not every skill imaginable, or the matrix becomes unmanageable
  • πŸ’‘Review it quarterly rather than treating it as a one-off; skills and project needs both drift

How it works

  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

How do you score proficiency in a Skills Matrix?οΌ‹

Use a short, defined numeric scale such as 0 to 3 or 1 to 5, with a written descriptor for each level so ratings are consistent across assessors. Combining a self-rating with a manager or peer validation reduces bias.

What is the difference between a Skills Matrix and a competency framework?οΌ‹

A competency framework defines the skills and expected standards for roles across an organisation, while a Skills Matrix is the applied snapshot showing which named people currently meet those skills and at what level.

How do you identify skill gaps from a matrix?οΌ‹

Compare the required proficiency for each critical skill against the highest score anyone on the team holds; a shortfall, or a skill covered by only one person, signals a gap or single point of failure to address through hiring or training.
