About the Stakeholder Analysis template

A Stakeholder Analysis identifies everyone affected by or able to influence your project, then assesses their interest, influence, and attitude so you can plan the right engagement for each. Getting this right early prevents late surprises from overlooked decision-makers, blockers, or regulatory bodies, and keeps communication proportionate to each party's power.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Stakeholder Analysis

  • β–ΈDuring project initiation, before drafting the communications or engagement plan
  • β–ΈWhen a new sponsor, regulator, or partner joins mid-project and the power balance shifts
  • β–ΈAhead of a major change, go-live, or contentious decision that needs buy-in
  • β–ΈWhen resistance or conflicting requirements are stalling progress and you need to map the players

What a good Stakeholder Analysis includes

  • βœ“Stakeholder name, role, and organisation or group they represent
  • βœ“Interest level and influence/power rating, often plotted on a power-interest grid
  • βœ“Current attitude or stance (supporter, neutral, blocker) versus desired stance
  • βœ“Key expectations, concerns, and what success looks like to them
  • βœ“Engagement strategy: manage closely, keep satisfied, keep informed, or monitor
  • βœ“Owner and communication frequency/channel for each stakeholder

Tips & common mistakes

  • πŸ’‘Rate influence and interest with the team, not solo, opinions differ and the debate surfaces hidden risks
  • πŸ’‘Treat the analysis as living, revisit it at each phase gate as people and priorities change
  • πŸ’‘Don't stop at the grid, translate each quadrant into a specific action or you have data without a plan

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

How do you use a power-interest grid?οΌ‹

Plot each stakeholder by their power to affect the project (vertical) and their interest in it (horizontal). The quadrant dictates the tactic: manage high-power/high-interest closely, keep high-power/low-interest satisfied, keep low-power/high-interest informed, and monitor the rest.

What is the difference between a stakeholder register and a stakeholder analysis?οΌ‹

A register is the factual list of who your stakeholders are and their contact details, while the analysis adds judgement, rating their influence, interest, attitude, and the engagement approach for each.

How often should a stakeholder analysis be updated?οΌ‹

Review it at every major milestone or phase gate, and immediately whenever a key person changes, a new party enters, or someone's stance shifts, since engagement plans built on stale data quickly fail.
