About the KPI template

A KPI (key performance indicator) is a quantifiable measure tied to a specific objective, tracked over time against a target to show whether performance is on course. Unlike a generic metric, a KPI links directly to a strategic or operational goal, so movement in the number signals whether action is needed. Defining KPIs clearly keeps teams focused on outcomes that matter rather than data that is merely available.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a KPI

  • Translating strategic objectives or an OKR into measurable targets for a quarter or year
  • Setting up a project or program dashboard to report progress to sponsors and stakeholders
  • Establishing a performance baseline before a process improvement or change initiative
  • Running regular review cadences where owners report actuals against targets

What a good KPI includes

  • KPI name and a plain-language definition of what it measures
  • The objective or goal the indicator supports
  • Exact calculation formula and data source
  • Baseline, target value, and reporting frequency
  • Named owner accountable for the result
  • Direction of good (higher/lower is better) and threshold or RAG status bands

Tips & common mistakes

  • 💡Limit each objective to a handful of KPIs; too many indicators dilute focus and none get acted on
  • 💡Pair lagging outcome measures with leading indicators you can influence now, not just report after the fact
  • 💡Write the calculation and data source down explicitly so two people compute the same number the same way

How it works

  1. 1. Fill it in — type directly into the fields, tables and sections above.
  2. 2. Brand it — add your organization name and logo with the Branding button.
  3. 3. Export — print to PDF, or become a member to white-label and sync across devices.

FAQ

What makes a good KPI versus a vanity metric?

A good KPI is tied to a decision or objective, has a defined target, and can drive action when it moves; a vanity metric looks impressive but changes nothing about what you do.

How many KPIs should I track per objective?

Aim for two to four per objective—enough to cover leading and lagging views without overwhelming reviews. Beyond that, ownership and attention tend to fragment.

What is the difference between a KPI and a metric?

Every KPI is a metric, but not every metric is a KPI. A KPI is a selected metric with a target and an owner because it directly reflects progress toward a goal.
