About the Organizational Chart template

An Organizational Chart maps reporting lines, roles, and team structure so everyone can see who reports to whom and where decisions sit. It clarifies accountability, spans of control, and escalation paths, which matters most during onboarding, reorganizations, and project staffing. On a project it complements the RACI and stakeholder register by showing the human hierarchy behind the work.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Organizational Chart

  • β–ΈOnboarding new hires or contractors who need to understand reporting lines
  • β–ΈPlanning a reorganization, merger, or team restructure
  • β–ΈSetting up a project or programme team and defining escalation paths
  • β–ΈCommunicating structure to stakeholders, auditors, or a steering committee

What a good Organizational Chart includes

  • βœ“Each person's name, job title, and role
  • βœ“Reporting relationships shown as connecting lines (solid for direct, dashed for dotted-line)
  • βœ“Departments, functions, or business units as groupings
  • βœ“Vacant or to-be-hired positions clearly flagged
  • βœ“Optional detail: location, cost centre, email, or FTE count
  • βœ“A legend and an effective/as-of date for version control

Tips & common mistakes

  • πŸ’‘Show dotted-line (matrix) reporting explicitly so shared resources and dual accountability are not missed
  • πŸ’‘Keep titles consistent with HR records and re-date the chart after every change, as an outdated chart erodes trust
  • πŸ’‘Avoid overloading each box; link to a role description rather than cramming duties into the chart

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

What is the difference between a hierarchical and a matrix org chart?οΌ‹

A hierarchical chart shows a single reporting line per person in a top-down tree, while a matrix chart adds secondary (dotted-line) relationships for people who answer to both a functional and a project manager.

How do I show a vacant position on an org chart?οΌ‹

Add a placeholder box with the job title, leave the name blank or mark it "Open" or "TBH", and use a distinct colour or dashed border so it is obvious the role is unfilled.

How often should an organizational chart be updated?οΌ‹

Refresh it after any hire, departure, promotion, or restructure, and review it at least quarterly; always include an effective date so readers know which version is current.
