About the Work Order template

A Work Order is a formal authorization to perform a specific task, repair, or service, specifying what work is required, who is responsible, and when it must be completed. It converts a request or scheduled maintenance need into a trackable, costed job with a clear scope and priority. Well-managed work orders keep labor, materials, and asset downtime accountable across the full job lifecycle.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes

  • πŸ’‘Assign a unique, sequential work order number so jobs can be searched and reported on later.
  • πŸ’‘Capture actual hours and materials at completion, not just estimates, or cost tracking becomes meaningless.
  • πŸ’‘Set priority against clear criteria rather than gut feel, so urgent safety work isn't queued behind routine tasks.

How it works

  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

What is the difference between a work order and a purchase order?οΌ‹

A work order authorizes labor and tasks to be performed on an asset or service, while a purchase order authorizes buying goods or services from an external supplier. A single job may involve both when the work requires purchased parts.

Who is responsible for approving a work order?οΌ‹

Typically a maintenance manager, supervisor, or facility owner reviews and approves the request before it is scheduled, verifying scope, priority, and budget. Higher-cost or safety-critical work often needs additional sign-off.

How do you track the status of a work order?οΌ‹

Use a status field that moves through stages such as requested, approved, scheduled, in progress, on hold, and completed, updated as the job progresses. Recording actual hours and materials at closeout enables accurate cost and performance reporting.
