A Work Order is a formal authorization to perform a specific task, repair, or service, specifying what work is required, who is responsible, and when it must be completed. It converts a request or scheduled maintenance need into a trackable, costed job with a clear scope and priority. Well-managed work orders keep labor, materials, and asset downtime accountable across the full job lifecycle.

A work order authorizes labor and tasks to be performed on an asset or service, while a purchase order authorizes buying goods or services from an external supplier. A single job may involve both when the work requires purchased parts.
Typically a maintenance manager, supervisor, or facility owner reviews and approves the request before it is scheduled, verifying scope, priority, and budget. Higher-cost or safety-critical work often needs additional sign-off.
Use a status field that moves through stages such as requested, approved, scheduled, in progress, on hold, and completed, updated as the job progresses. Recording actual hours and materials at closeout enables accurate cost and performance reporting.
