About the Communication Plan template
A Communication Plan defines who needs project information, what they need, how often, and through which channel. It prevents the two most common stakeholder failures—people blindsided by decisions and inboxes flooded with irrelevant updates—by mapping each audience to a deliberate cadence and format. Documenting it upfront also gives you an auditable record when scope or sponsors change.
It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.
When to use a Communication Plan
▸Kicking off a project with mixed internal, client, and vendor stakeholders
▸After a stakeholder analysis, to turn the register into concrete outreach
▸When status updates are inconsistent or key people say they were left out
▸Managing a distributed or cross-time-zone team needing agreed channels
What a good Communication Plan includes
✓Audience or stakeholder group, with their interest and influence level
✓Information needs: what each group actually cares about (risks, budget, milestones)
✓Frequency and timing (weekly stand-up, monthly steering report, ad hoc)
✓Channel and format (email digest, dashboard, meeting, Slack, formal report)
✓Owner responsible for producing and sending each communication
✓Feedback loop: how recipients respond, escalate, or confirm receipt

Tips & common mistakes
💡Match cadence to influence—executives want brief exception reports, not raw detail; teams need the operational granularity.
💡Avoid one channel for everyone; a sponsor ignoring a Teams thread is a communication gap, not their fault.
💡Revisit the plan at each phase gate—stakeholders and their needs shift as the project moves from planning to delivery.

FAQ
What is a Communication Plan?+
It is a document that specifies which stakeholders receive project information, what content they get, and the frequency and channel used to deliver it. It aligns communication effort with each audience's needs and influence.
How is a communication plan different from a stakeholder register?+
A stakeholder register identifies and analyses who has an interest in the project, while a communication plan builds on it to define the actual messages, cadence, and channels for each group.
How often should you update a communication plan?+
Review it at every phase transition or major change in scope, sponsors, or team, and at minimum whenever a status report reveals recurring information gaps or stakeholder complaints.
