About the Time Blocking template

Time blocking is a scheduling method where you divide your day into dedicated blocks, each assigned to a specific task, meeting, or category of work rather than an open-ended to-do list. By committing hours to defined activities, you protect focus time, cap context-switching, and turn intentions into calendar commitments. It matters because it forces realistic capacity planning: you can only block what actually fits in the day.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Time Blocking

  • β–ΈPlanning a deep-work day where interruptions and reactive tasks keep derailing progress
  • β–ΈBalancing multiple projects or clients and needing visible time allocation across them
  • β–ΈPreparing a weekly schedule during sprint planning or personal review sessions
  • β–ΈEstimating whether a workload realistically fits available working hours

What a good Time Blocking includes

  • βœ“Time axis with start and end times, usually in 15, 30, or 60-minute increments
  • βœ“Named blocks for each task or activity, ideally with a priority or project tag
  • βœ“Buffer or transition blocks between commitments to absorb overruns
  • βœ“A theme or category color key (deep work, meetings, admin, breaks)
  • βœ“Fixed anchors like standing meetings, lunch, and hard deadlines
  • βœ“A small backlog or overflow list for tasks that didn't fit the day

Tips & common mistakes

  • πŸ’‘Overbooking is the most common failure: leave 20-30% of the day unblocked for the unexpected.
  • πŸ’‘Batch similar tasks (email, calls, admin) into one block instead of scattering them.
  • πŸ’‘Block breaks and buffers explicitly, or reactive work will silently consume them.

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

How is time blocking different from a normal to-do list?οΌ‹

A to-do list captures what needs doing without committing to when; time blocking assigns each item a specific slot on your calendar, which exposes whether the work actually fits the available hours.

How long should each time block be?οΌ‹

Most people use 30 to 90 minute blocks, matching a task to a realistic focus window, then add a short buffer between blocks for transitions and overruns.

What should I do when a block runs over or gets interrupted?οΌ‹

Use your buffer blocks to absorb the overflow, and if that isn't enough, move the remaining work to your overflow list or the next open block rather than compressing everything after it.
