About the Supplier Evaluation template

A Supplier Evaluation is a structured assessment that scores potential or existing vendors against weighted criteria such as price, quality, delivery reliability, technical capability and financial stability. It converts subjective vendor impressions into comparable data, giving procurement and project teams a defensible basis for award and ongoing performance reviews.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

  • β–ΈSelecting a preferred supplier when several vendors meet the baseline requirements
  • β–ΈConducting periodic reviews of contracted suppliers against agreed KPIs
  • β–ΈQualifying a new vendor before adding them to an approved supplier list

Tips & common mistakes

  • πŸ’‘Agree criteria and weightings before you see any bids to avoid bias toward a favoured vendor
  • πŸ’‘Use more than one evaluator and reconcile large scoring gaps rather than averaging them silently
  • πŸ’‘Keep price as one weighted factor, not the deciding one, so quality and risk are not undervalued

FAQ

What criteria should I weight most heavily?οΌ‹

Weight criteria by their impact on project outcomes: for critical components, quality, reliability and delivery often outweigh price, while for commodity items cost and lead time may dominate.

How do I score suppliers objectively?οΌ‹

Define each point on the scoring scale with observable evidence, for example what a 1 versus a 5 looks like for delivery reliability, so different evaluators reach consistent scores.

How often should suppliers be re-evaluated?οΌ‹

Re-evaluate strategic or high-spend suppliers at least annually or against contract KPIs, and trigger an interim review whenever performance issues, cost changes or delivery failures occur.
