A Stock Sheet is a running record of the materials, parts, or finished goods held in a location, capturing quantity on hand, unit details, and reorder thresholds. It gives a project or store the accurate baseline needed to schedule work, plan purchasing, and avoid stockouts that stall delivery. Kept current, it turns physical inventory into data you can plan against.
It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.
The interactive form above gives you:
A stock take is the physical counting activity, while the stock sheet is the document that records the counted quantities, values, and locations. The sheet is the output you reconcile against your inventory system.
Multiply each item's quantity on hand by its unit cost, then sum the line totals. Apply a consistent costing method such as FIFO or weighted average so valuations are comparable between periods.
High-turnover or critical items are best counted with rolling cycle counts weekly or monthly, while a full stocktake typically runs quarterly or at year-end for financial reporting.
