About the Project Plan template

A Project Plan is the baseline document that defines how a project will be executed, monitored, and controlled, covering scope, schedule, cost, resources, and risk. It converts the approved charter into an actionable roadmap so stakeholders share a single view of deliverables, dependencies, and dates. Without it, teams drift from agreed objectives and lose the reference point needed to measure variance.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Project Plan

  • β–ΈKicking off a newly approved project once the charter is signed
  • β–ΈEstablishing the performance baseline before work begins
  • β–ΈAligning sponsors, team, and vendors on scope, milestones, and responsibilities
  • β–ΈRe-planning after a major change request or scope shift

Tips & common mistakes

  • πŸ’‘Baseline the schedule and budget once approved, then track actuals against it rather than editing the original
  • πŸ’‘Keep the WBS at a manageable level of detail β€” decompose to where work can be estimated and owned, not to every micro-task
  • πŸ’‘Link risks and assumptions to specific tasks so their impact on the timeline is visible

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

What is the difference between a project plan and a project schedule?οΌ‹

The schedule is one component of the plan, showing tasks, durations, and dates. The plan is broader, adding scope, budget, resources, risk, quality, and communication approaches.

Who is responsible for creating the project plan?οΌ‹

The project manager owns and assembles it, but inputs come from the team, subject-matter experts, and stakeholders, with sign-off from the sponsor before the baseline is set.

How detailed should a project plan be?οΌ‹

Detail should match project size and risk: enough to assign ownership, estimate effort, and track progress, while using rolling-wave planning to elaborate later phases as they approach.
