About the Payment Tracker template

A Payment Tracker is a running log of money owed and paid across a project or business, capturing each invoice, its due date, amount, and settlement status. It gives you a real-time view of outstanding payables and receivables so cash-flow gaps and overdue accounts surface before they become problems.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes

  • πŸ’‘Record the actual payment date, not just "paid" β€” it lets you measure real payment cycles and spot slow payers
  • πŸ’‘Use consistent status labels so filters and totals stay reliable; free-text status columns break reporting
  • πŸ’‘Log part-payments as separate lines against the same invoice rather than editing the original amount

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

How do I track partial or installment payments?οΌ‹

Enter each payment as its own dated row linked to the original invoice reference, and let the running balance show what remains outstanding rather than overwriting the invoiced total.

What's the difference between a payment tracker and an invoice register?οΌ‹

An invoice register lists what has been billed, while a payment tracker also records when and how each amount was actually settled, so it reflects real cash movement and overdue status.

How can I flag overdue payments automatically?οΌ‹

Compare each due date against today's date; any unpaid item past its due date should shift to an overdue status so you can prioritize follow-up and forecast late cash.
