About the Event Schedule template

An Event Schedule is a time-sequenced plan that maps every session, activity, and logistical task across an event's run-of-show, from setup through teardown. It keeps speakers, vendors, AV crews, and volunteers synchronized so transitions happen on cue and nothing overruns. Without one, parallel tracks collide, gaps appear, and staff lose visibility into who does what and when.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Event Schedule

  • β–ΈPlanning a conference, workshop, or multi-track summit with concurrent sessions
  • β–ΈCoordinating a wedding, gala, or launch where minute-by-minute cues matter
  • β–ΈManaging vendor load-in, rehearsals, and teardown windows for a venue booking
  • β–ΈBriefing volunteers, hosts, and AV staff on a shared run-of-show

What a good Event Schedule includes

  • βœ“Time slots with clear start and end times (and buffer/transition gaps)
  • βœ“Activity or session title with track or room location
  • βœ“Owner or responsible person for each item (MC, speaker, tech, vendor)
  • βœ“Setup, rehearsal, and teardown blocks alongside live sessions
  • βœ“Resource and AV needs per slot (mics, projector, catering, staging)
  • βœ“Notes column for cues, dependencies, or contingency actions

Tips & common mistakes

  • πŸ’‘Build in transition buffers between sessions; back-to-back slots always run late in practice.
  • πŸ’‘Assign a single named owner per line item so accountability is never ambiguous.
  • πŸ’‘Share a read-only version with all stakeholders and lock edits once finalized to prevent conflicting copies.

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

How is an event schedule different from a run-of-show?οΌ‹

A run-of-show is the granular, minute-by-minute cue sheet for a single live segment, while an event schedule is the broader timeline covering all sessions, logistics, setup, and teardown across the whole event.

How much buffer time should I add between sessions?οΌ‹

A common rule is 10-15 minutes between sessions for room turnover, AV resets, and attendee movement; longer for meals, keynotes, or venue changes.

Can multiple people manage the event schedule at once?οΌ‹

Yes, an interactive online schedule lets organizers, vendors, and AV teams view or edit the same version in real time, avoiding the conflicting copies that come with emailed spreadsheets.
