About the Event Plan template

An Event Plan is the master document that coordinates every element of an event—objectives, budget, schedule, logistics, and responsibilities—from initial concept through post-event wrap-up. It keeps organizers, vendors, and stakeholders aligned on who does what, by when, and at what cost, reducing the last-minute scrambles that derail live events.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Event Plan

  • Organizing a conference, product launch, or trade show with multiple vendors and deadlines
  • Coordinating internal events such as staff offsites, AGMs, or training days
  • Running community, fundraising, or ticketed public events that need permits and safety planning
  • Handing off event delivery to a team and needing a single source of truth

What a good Event Plan includes

  • Event overview: name, date, venue, purpose, and target attendance
  • Budget breakdown with estimated vs. actual costs per line item
  • Detailed timeline and run-of-show, including setup and teardown windows
  • Roles and responsibilities matrix for staff, volunteers, and vendors
  • Logistics: catering, AV, seating, signage, transport, and accessibility
  • Risk and contingency plan covering weather, cancellations, and health & safety

Tips & common mistakes

  • 💡Build the run-of-show in real clock times, not just durations—gaps and overlaps become obvious immediately.
  • 💡Assign a named owner to every task; tasks marked 'the team' reliably fall through the cracks.
  • 💡Lock a contingency budget of 10-15% early rather than absorbing overruns from the main lines.

How it works

  1. 1. Fill it in — type directly into the fields, tables and sections above.
  2. 2. Brand it — add your organization name and logo with the Branding button.
  3. 3. Export — print to PDF, or become a member to white-label and sync across devices.

FAQ

What is a Event Plan?

It is a coordinating document that captures an event's objectives, budget, schedule, logistics, and assigned responsibilities so everyone involved works from the same information.

How far in advance should I start an event plan?

Start as soon as the date and objectives are set—large events like conferences typically need 6-12 months, while smaller internal events can be planned in 4-8 weeks.

What is a run-of-show and where does it go?

A run-of-show is a minute-by-minute schedule of what happens on the event day, including cues for speakers, AV, and transitions; it sits within the timeline section of the plan.
