About the Asset Management template

An Asset Management register is a structured record of an organization's physical and intangible assets, tracking each item's location, condition, ownership, value, and lifecycle stage. It matters because it prevents lost or duplicated assets, supports depreciation and maintenance planning, and gives project teams a single source of truth for resource allocation and capital decisions.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes

  • πŸ’‘Standardize asset ID naming from day one so records stay searchable as the register grows
  • πŸ’‘Reconcile the register against physical counts at least annually to catch ghost and missing assets
  • πŸ’‘Log depreciation method and useful life per asset rather than applying one blanket rule

FAQ

How do I track asset depreciation in the register?οΌ‹

Record each asset's purchase cost, acquisition date, useful life, and chosen method (straight-line or reducing balance), then let the current value update as time passes. Keeping this per-asset avoids errors when items have different lifespans.

What is the difference between an asset register and an inventory list?οΌ‹

An inventory list typically tracks consumable stock and quantities for day-to-day use, while an asset register tracks durable, capitalized items over their full lifecycle including value, ownership, and maintenance. Assets are held long-term; inventory is consumed or sold.

How often should the asset register be reviewed?οΌ‹

Reconcile it against a physical count at least once a year, and update entries whenever assets are acquired, transferred, serviced, or disposed of to keep valuations and custody accurate.
