About the Site Diary template
A Site Diary is a daily record kept on a construction project documenting what happened on site, from weather and labour on hand to plant, deliveries, delays and instructions received. It creates a contemporaneous factual account that protects both parties in delay claims, variations and disputes, and feeds progress reporting and payment assessments.
It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes
- π‘Complete the diary the same day while details are fresh; entries written weeks later carry little evidential weight
- π‘Record standing plant and idle labour explicitly, as these are the figures that support disruption claims
- π‘Note who gave verbal instructions and when, then follow up in writing to close the loop

FAQ
Who is responsible for keeping the site diary?οΌ
Typically the site manager, site engineer or foreman completes it daily, though the contractor, subcontractor and client's representative may each keep their own records for their own protection.
Is a site diary admissible as evidence in a dispute?οΌ
Yes, a contemporaneous site diary is regularly relied on in adjudication and litigation because it records facts as they happened; its weight depends on how consistently and promptly it was kept.
What is the difference between a site diary and a daily report?οΌ
A site diary is the internal daily factual log kept by site staff, while a daily report is usually the formatted version shared with the client or head office summarising that information.
