About the Service Quote template

A Service Quote is a formal offer stating the scope, price, and terms under which you'll deliver a defined piece of work for a client. It converts an enquiry into a priced commitment and, once accepted, often becomes the basis for the contract. Getting it clear and complete reduces scope disputes and speeds up approval.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Service Quote

  • Responding to a client enquiry for a fixed or estimated piece of work
  • Pitching consulting, trades, agency, or maintenance services with defined deliverables
  • Setting out pricing options (e.g. tiers or optional add-ons) before a contract is signed
  • Replacing an informal email estimate with a documented, trackable offer

What a good Service Quote includes

  • Quote number, issue date, and validity/expiry period
  • Client and provider details, including contact and any business/tax registration
  • Itemised scope of work with quantities, unit rates, and line totals
  • Subtotal, discounts, tax, and total price, with currency stated
  • Payment terms, deposit requirements, and accepted methods
  • Assumptions, exclusions, and acceptance/signature block

Tips & common mistakes

  • 💡Always set an expiry date so pricing isn't held against you months later after costs change
  • 💡Spell out exclusions explicitly—unstated assumptions are the most common source of scope creep
  • 💡Separate optional extras from the core price so the client sees the base cost clearly before adding on

How it works

  1. 1. Fill it in — type directly into the fields, tables and sections above.
  2. 2. Brand it — add your organization name and logo with the Branding button.
  3. 3. Export — print to PDF, or become a member to white-label and sync across devices.

FAQ

What is a Service Quote?

It's a document that offers to perform specific services for a stated price and set of terms. Once a client accepts it in writing, it typically forms a binding agreement to deliver that scope at that price.

What's the difference between a quote and an estimate?

A quote is a firm price you commit to for the defined scope, whereas an estimate is an approximate figure that may change as work progresses. Use a quote for well-defined jobs and an estimate when scope or effort is still uncertain.

How long is a Service Quote valid for?

Only as long as the validity period you state on it—commonly 14 to 30 days. After expiry you're free to re-price, which protects you against rising material or labour costs.
