About the Scope of Work template

A Scope of Work (SOW) is a contractual document that defines the specific deliverables, tasks, timelines, and acceptance criteria a vendor or team will provide on a project. It converts a broad agreement into enforceable detail, so both parties share the same expectations on what is (and isn't) being delivered. A clear SOW is your first line of defense against scope creep, payment disputes, and missed milestones.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Scope of Work

  • β–ΈEngaging a contractor, agency, or freelancer where deliverables and payment need to be pinned down
  • β–ΈAttaching detailed work terms to a master services agreement (MSA) or fixed-price contract
  • β–ΈKicking off an internal project phase that requires sign-off on deliverables and boundaries
  • β–ΈResponding to an RFP where you must spell out exactly what your proposal covers

Tips & common mistakes

  • πŸ’‘State exclusions explicitly; what you leave out prevents disputes as much as what you include
  • πŸ’‘Tie each payment to a completed, measurable milestone rather than calendar dates alone
  • πŸ’‘Define acceptance criteria up front so 'done' isn't decided after delivery

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

What's the difference between a Scope of Work and a Statement of Work?οΌ‹

The terms are often used interchangeably and both abbreviate to SOW; a Statement of Work is typically the broader contractual document, while Scope of Work refers specifically to the deliverables and tasks section within it.

How detailed should a Scope of Work be?οΌ‹

Detailed enough that a third party could read it and know exactly what is being delivered, by when, and what counts as complete; vague language like 'as needed' invites disputes and scope creep.

Is a Scope of Work legally binding?οΌ‹

On its own it's a working document, but once signed or referenced by a contract or MSA it becomes an enforceable part of that agreement.
