About the Sales Order template

A Sales Order is an internal confirmation document a seller issues after accepting a customer's purchase order or quote, formalizing the agreed products, quantities, prices, and delivery terms. It triggers fulfillment, inventory allocation, and invoicing, and serves as the reference point that ties the customer's request to your delivery and billing records.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes

  • πŸ’‘Always cross-check the sales order against the customer's PO to catch price or quantity mismatches before committing stock.
  • πŸ’‘Use a unique, sequential order number and reference it on packing slips and invoices to keep fulfillment and billing reconciled.
  • πŸ’‘Confirm agreed delivery dates and lead times explicitly rather than leaving them blank to avoid disputes over late shipment.

FAQ

What is the difference between a sales order and a purchase order?οΌ‹

A purchase order is issued by the buyer to request goods, while a sales order is issued by the seller to confirm acceptance of that request; they describe the same transaction from opposite sides.

Does a sales order come before or after an invoice?οΌ‹

A sales order comes first, confirming the order and triggering fulfillment; the invoice is issued afterward to request payment once goods are shipped or delivered.

Is a sales order a legally binding contract?οΌ‹

Once accepted and acknowledged by both parties, a sales order can form a binding agreement covering agreed items, prices, and terms, though its enforceability depends on the surrounding terms and applicable contract law.
