About the Request for Quote RFQ template

A Request for Quote (RFQ) is a formal document sent to prospective suppliers asking for firm pricing on clearly defined goods or services. Because scope and specifications are fixed, an RFQ invites price competition on a like-for-like basis, making it the fastest procurement route when you already know exactly what you need and quantity is quantifiable.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Request for Quote RFQ

  • β–ΈBuying standardized, off-the-shelf items where specifications are already fixed
  • β–ΈComparing supplier pricing on identical scope before issuing a purchase order
  • β–ΈProcuring recurring or high-volume goods where cost is the main decision driver
  • β–ΈMeeting a policy threshold requiring competitive quotes for spend above a set value

Tips & common mistakes

  • πŸ’‘Lock the specification before issuing so every supplier quotes on identical scope, otherwise price comparison is meaningless
  • πŸ’‘State currency, taxes, and whether pricing is inclusive of freight to avoid apples-to-oranges responses
  • πŸ’‘Set a realistic quote validity period so accepted prices remain firm through your PO cycle

FAQ

When should I use an RFQ instead of an RFP?οΌ‹

Use an RFQ when the requirement is well-defined and price is the deciding factor; use an RFP when you need suppliers to propose solutions or approaches you haven't yet specified.

How many suppliers should I send an RFQ to?οΌ‹

Three to five qualified suppliers is common practice, giving enough competitive tension without creating excessive evaluation overhead; many procurement policies mandate a minimum of three quotes.

Is an RFQ response legally binding?οΌ‹

A returned quote is generally an offer, not a contract, and becomes binding only when you accept it, typically by issuing a purchase order within the stated validity period.
