About the Project Outline template

A Project Outline is a short document that captures the essentials of a proposed project—its purpose, scope, deliverables, and rough timeline—before detailed planning begins. It gives sponsors and stakeholders enough to decide whether an idea is worth pursuing and to align on direction early. Think of it as the bridge between a rough concept and a full project charter or plan.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Project Outline

  • Pitching a new idea to a sponsor or steering group for go/no-go approval
  • Framing scope and objectives before writing a full charter or business case
  • Aligning stakeholders quickly at the start of a bid, proposal, or discovery phase
  • Comparing several candidate projects to decide where to invest resources

What a good Project Outline includes

  • Project name and one-line summary of the purpose
  • Background and the problem or opportunity being addressed
  • Objectives and measurable success criteria
  • High-level scope, including key exclusions
  • Main deliverables and an indicative timeline or milestones
  • Key stakeholders, budget range, and known risks or assumptions

Tips & common mistakes

  • 💡Keep it to one or two pages—an outline that reads like a full plan defeats its purpose
  • 💡State what is out of scope explicitly; unspoken assumptions cause the most disputes later
  • 💡Use ranges for budget and dates at this stage and refine them in the charter, rather than committing to false precision

How it works

  1. 1. Fill it in — type directly into the fields, tables and sections above.
  2. 2. Brand it — add your organization name and logo with the Branding button.
  3. 3. Export — print to PDF, or become a member to white-label and sync across devices.

FAQ

How is a Project Outline different from a project charter?

An outline is a lighter, pre-approval document used to test whether an idea is viable, while a charter formally authorizes the project and appoints the project manager. The charter typically expands on the outline with detailed scope, governance, and resourcing.

Who is responsible for writing the Project Outline?

It is usually drafted by the person proposing the project or a project manager, often with input from the sponsor. The sponsor or steering group then reviews it to decide whether to proceed.

How long should a Project Outline be?

Aim for one to two pages. It should convey purpose, scope, deliverables, and rough timing at a glance without duplicating the detail that belongs in later planning documents.
