About the Project Initiation Document template
A Project Initiation Document (PID) is the foundational reference that defines a project's scope, objectives, governance and business justification before delivery begins. It consolidates the business case, approach and management controls into a single baseline that stakeholders sign off, giving the project manager formal authority to proceed. Once approved it becomes the yardstick against which progress and change are measured.
It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.
When to use a Project Initiation Document
- βΈAt the transition from concept or feasibility into a funded, mandated project
- βΈWhen you need formal sponsor and steering group sign-off to release budget and resources
- βΈIn PRINCE2 environments where a PID is a required product before the delivery stage
- βΈTo establish a shared baseline when multiple stakeholders or vendors are involved
What a good Project Initiation Document includes
- βProject background, business case and measured objectives
- βScope, key deliverables and explicit exclusions
- βGovernance: roles, responsibilities and reporting lines
- βDelivery approach, high-level plan and milestones
- βBudget, resource requirements and cost tolerances
- βRisks, assumptions, constraints and dependencies

Tips & common mistakes
- π‘Keep the PID a living baseline: version it and update through change control rather than letting it go stale after approval
- π‘State exclusions explicitly, not just what is in scope, to prevent later scope disputes
- π‘Avoid duplicating detailed plans inside the PID; reference the separate plan, risk register and business case so each has a single source of truth
How it works
- 1. Fill it in β type directly into the fields, tables and sections above.
- 2. Brand it β add your organization name and logo with the Branding button.
- 3. Export β print to PDF, or become a member to white-label and sync across devices.
FAQ
What is a Project Initiation Document?οΌ
It is the approved baseline document that defines a project's scope, objectives, governance, plan and business justification, authorising the project to move into delivery.
What is the difference between a PID and a project charter?οΌ
A project charter is typically a shorter authorisation summary used in PMBOK contexts, while a PID is a more comprehensive PRINCE2 product that also captures the delivery approach, controls and management strategies.
Who is responsible for producing the PID?οΌ
The project manager assembles the PID, drawing on inputs from the sponsor and team, but it must be formally reviewed and approved by the project board or sponsor before work proceeds.
