About the Project Canvas template

A Project Canvas is a single-page visual framework that captures the essentials of a project—purpose, stakeholders, deliverables, milestones, budget, and risks—before you commit to a full charter or plan. It aligns sponsors and the team on the why and what early, replacing lengthy documents with a shared reference that fits on one screen. Used in initiation, it exposes gaps and assumptions while the project is still cheap to reshape.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Project Canvas

  • Kicking off a new initiative and needing fast sponsor and stakeholder alignment
  • Running a discovery or framing workshop before writing a formal charter
  • Pitching or comparing several project ideas for go/no-go decisions
  • Onboarding new team members who need the big picture at a glance

What a good Project Canvas includes

  • Objectives and success criteria with measurable outcomes
  • Key deliverables and out-of-scope items
  • Stakeholders, sponsor, and team roles
  • Milestones, timeline, and high-level budget
  • Risks, assumptions, and dependencies

Tips & common mistakes

  • 💡Fill it collaboratively in a live session—one person drafting in isolation misses the alignment benefit
  • 💡Keep each field to a few lines; if a section needs paragraphs, move it to the charter
  • 💡Revisit the canvas at stage gates so scope and assumptions stay honest

How it works

  1. 1. Fill it in — type directly into the fields, tables and sections above.
  2. 2. Brand it — add your organization name and logo with the Branding button.
  3. 3. Export — print to PDF, or become a member to white-label and sync across devices.

FAQ

How is a Project Canvas different from a project charter?

A canvas is a lightweight one-page overview for early alignment and idea-shaping, while a charter is the formal, approved document that authorizes the project and its manager. The canvas often feeds into the charter.

Who should fill out a Project Canvas?

The project manager or sponsor typically facilitates, but it works best completed together with core team members and key stakeholders in a workshop so assumptions surface quickly.

When in the project lifecycle should you create one?

During initiation, before detailed planning—ideally at the concept or discovery stage when you're validating whether the project is worth pursuing.
