About the Job Estimate template

A Job Estimate is a written breakdown of the anticipated costs, labor, materials, and timeline for a specific piece of work, given to a client before the job is awarded. It sets expectations on price and scope, protects you from disputes over unbudgeted extras, and often becomes the basis for the final contract or invoice.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

When to use a Job Estimate

  • β–ΈQuoting a trade or service job (electrical, plumbing, landscaping, IT work) before committing
  • β–ΈResponding to a client request for pricing on a defined scope of work
  • β–ΈComparing costs of materials and labor before submitting a formal proposal
  • β–ΈDocumenting agreed figures so later change orders can be measured against a baseline

Tips & common mistakes

  • πŸ’‘State assumptions and exclusions explicitly, so out-of-scope requests trigger a documented change order rather than an argument.
  • πŸ’‘Add an expiry date, materials prices and labor rates shift, and an open-ended estimate can leave you honoring a figure that no longer covers your costs.
  • πŸ’‘Label it clearly as an estimate, not a fixed quote, if the final figure may vary with actual measurements or site conditions.

How it works

  1. 1. Fill it in β€” type directly into the fields, tables and sections above.
  2. 2. Brand it β€” add your organization name and logo with the Branding button.
  3. 3. Export β€” print to PDF, or become a member to white-label and sync across devices.

FAQ

What is the difference between a job estimate and a quote?οΌ‹

An estimate is an informed approximation of cost that can reasonably change as work progresses, while a quote is a fixed price the provider commits to honor. Use an estimate when scope or conditions are uncertain, and a quote when everything is fully defined.

Is a job estimate legally binding?οΌ‹

An estimate generally is not binding because it signals an approximate figure, not a firm offer, though it can become contractual once the client signs and both parties treat it as an agreed price. Clear wording, validity dates, and stated assumptions determine how it is interpreted.

How much can a final bill exceed a job estimate?οΌ‹

There is no universal cap, but many jurisdictions and trade codes expect the final bill to stay within roughly 10 to 15 percent of the estimate unless the client approves additional work. Document any overruns with a signed change order to remain enforceable.
