About the Job Card template

A Job Card is a work-order document that authorises and records a specific field task, capturing who did the work, what was done, the labour hours, and the materials and equipment consumed. On construction and maintenance sites it links a scheduled job to actual on-the-ground execution, giving supervisors an auditable record for progress tracking, billing, and quality sign-off.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes

  • πŸ’‘Log materials and hours as the work happens, not from memory at day's end, to avoid under-recovering costs
  • πŸ’‘Make the sign-off field mandatory so no job is marked complete without a supervisor or client confirmation
  • πŸ’‘Reference the parent work order or asset ID on every card so cards can be traced back for warranty and audit

FAQ

What is the difference between a job card and a work order?οΌ‹

A work order authorises and requests the work at a planning level, while a job card is the field record of how that work was actually carried out, including hours, materials, and completion status.

Who fills in a job card?οΌ‹

The assigned technician or crew records the work performed, hours, and materials, and a supervisor or client typically signs off to confirm completion.

How does a job card help with invoicing?οΌ‹

By capturing actual labour hours and materials consumed against a task, it provides the verified data needed to bill time-and-materials work accurately and defend charges if queried.
