About the Estimate template

An Estimate is a documented projection of the costs, quantities, and timeline for delivering a defined scope of work, given to a client before any commitment is made. It sets pricing expectations, shows how figures were derived, and forms the basis for a formal quote or contract. A clear estimate protects both parties from scope disputes and margin erosion.

It's part of My QMS, MyPMP's Quality Management System: fill it in online, personalize it with your name and logo, then export a clean, branded PDF. Your work auto-saves in your browser.

Tips & common mistakes

  • πŸ’‘State assumptions and exclusions explicitly so a rough estimate isn't treated as a fixed price
  • πŸ’‘Add a validity date, material and labor costs shift and open-ended estimates invite disputes
  • πŸ’‘Label the accuracy level so clients understand a concept estimate isn't a final quote

FAQ

What is the difference between an estimate and a quote?οΌ‹

An estimate is an approximate projection that can change as scope firms up, while a quote is a fixed price the client can accept as-is. Estimates carry accuracy ranges and assumptions; quotes are commitments.

How accurate should a project estimate be?οΌ‹

Accuracy depends on the stage: a ballpark or concept estimate may be -25% to +75%, while a definitive estimate built from detailed takeoffs is typically within -5% to +10%. Always state which level you're providing.

Is an estimate legally binding?οΌ‹

An estimate is generally not binding because it signals an approximate figure rather than an offer, though clearly stating it's an estimate and listing exclusions helps avoid it being treated as a fixed price.
