Source Selection (weighted)

Weighted source selection is a method for choosing the best seller (a vendor or contractor bidding to do work for you) when you care about several things at once β€” not just price, but also quality, delivery time, experience, and so on. It turns a fuzzy 'who feels best?' decision into a clear, defensible number.

Here's how it works in words. First, list your evaluation criteria (price, quality, schedule, etc.) and give each one a weight β€” a number showing how important it is, with the weights usually adding up to 1 (or 100%). Next, score each seller on each criterion with a rating (say, 1 to 10). Then, for every seller, multiply each rating by its criterion's weight and add all those products together. That total is the seller's weighted score. The symbol Ξ£ (the Greek letter sigma) simply means 'add up all of these.'

Reading the result is easy: the seller with the highest total score is the strongest overall match for what you value most. A higher weight means a criterion pushes the score more, so a seller who excels in the things you care about will rise to the top. Project managers use this to compare bids fairly, to justify their choice to stakeholders, and to avoid picking a vendor purely on the lowest price when quality or reliability matters more.

Think of it like judging a talent show where singing counts more than costume. Each judge scores every act, but the categories that matter most are multiplied to count for more β€” so the winner isn't just whoever's loudest, but whoever's best at the things that carry the most weight.

✏️ Worked example

Imagine two sellers rated 1–10 on three criteria with these weights: price 0.5, quality 0.3, schedule 0.2. Seller A: price 8, quality 6, schedule 7. Seller B: price 6, quality 9, schedule 8. Seller A's score = (0.5Γ—8) + (0.3Γ—6) + (0.2Γ—7) = 4.0 + 1.8 + 1.4 = 7.2. Seller B's score = (0.5Γ—6) + (0.3Γ—9) + (0.2Γ—8) = 3.0 + 2.7 + 1.6 = 7.3. Even though Seller A looks cheaper, Seller B wins with 7.3 versus 7.2, because its strong quality and schedule outweigh the price gap once the weights are applied.
