Actual Cost (AC / ACWP)
Actual Cost, often shortened to AC and sometimes called ACWP (Actual Cost of Work Performed), is simply the real money you have actually spent to complete the work done so far on your project. It is not an estimate or a plan — it is the true amount that has left your budget, adding up labor hours paid, materials bought, equipment rented, and any other costs incurred up to the point in time you are measuring.
There is no complicated calculation here: you gather all the invoices, timesheets, and expenses tied to the work completed and add them together. That total is your AC. The key word is 'actual' — it reflects what really happened, not what you hoped or budgeted.
A project manager uses AC constantly because you cannot judge whether a project is healthy without knowing what it has truly cost. On its own, a high or low AC does not tell you if that is good or bad — you need to compare it against the value of the work you have earned (called Earned Value) and what you planned to spend. AC is the honest reality check that feeds into almost every other cost measure.
Think of it like checking your bank statement after a shopping trip. It doesn't matter what you planned to spend or what the items were 'worth' — the statement shows the exact amount that actually left your account. AC is that honest statement for your project.
Imagine you are managing a project to paint an office building. So far, you have paid your painters $4,000 in wages, spent $1,500 on paint and supplies, and $500 to rent scaffolding. To find the Actual Cost, you simply add these together: $4,000 + $1,500 + $500 = $6,000. So your AC is $6,000 — that is the real money spent on the work completed to date, regardless of what you had budgeted.
